Registrations

Registration Information – All players under 13, must have a SWRSA approved Player Evaluation to be registered to a team above their own age.  The Registration for a rep team covers the registration fees for the Outdoor Season and the Indoor practices, any team wishing to register for the Indoor season must pay the costs associated with this including the costs to courier the player books to and from SWRSA.  Head Coaches are responsible for the submission of their COMPLETE Team Roster; Player Registration Forms and Player Books.  Please note that SWRSA has a cut off date for registrations that does not reflect the date posted by Leagues to register new players.  Only players registered for the current Indoor or Outdoor season and with a validated book may take part in a League Game, Tournament or Exhibition Game.   

All players who make the rep team will need to submit full payment online or to the office prior to the Player Books being processed.being processed.

Call Up Player General Rules -All players under 13 must have an SWRSA approved Player Evaluation to be used as a Call Up player for team above their own age.  A competitive player cannot play on a recreational team.  Boys cannot play on a Girls team.    No call up cannot be used no more than 4 times (L5 and greater) and no more than 5 call ups per game are allowed.  The players own team commitments come first, House League or Competitive.

Call Up Player Procedure – House League Players - House League players may be used by Travel Teams on a “call up” basis in accordance with the rules of their league and player may only be used when there is an absence from said roster.  The Team Head Coach shall first inform the appropriate House League Convener AND House League Coach before contacting the player.  House League players MUST fulfill their obligations to the House league team if there is a scheduling conflict with the Travel Team.  All players promoted from House League must have an authorized OSA player book completed before they can participate in a league game or tournament.  These players will should be added to the appropriate game sheet and noted as “guest”. 

Call Up Player Procedure – Rep Team Players - The player must be from a younger age or level below – no parallel calling.  If a player is playing and booked up they cannot be called to play on a team in his/her age group of a lower level.  To call up a player from a younger or lower rep team, first contact the coach and request a player.  You may request specific players.  The coach has the right to refuse the release of players for call up due to injury, own team commitments and team suspensions.  If approved the processed player book must be available at the game in which they are playing should be added to the appropriate game sheet and noted as “guest”. 

Instructions for Completing Official Books/registration paperwork - Max of 4 carded officials per team behind bench.  Application form (see below) must be completed by team officials and submitted to the office with the Official book or prior to the Official book being sent to SWRSA.  picture in book must be passport size – 1 ¾ x 1 ½ and must be in full colour on photographic paper – Replacement pictures must done as follows:  TEAM OFFICIAL – pictures must be replaced every 5 years – this means that the picture is good for 4 years and must be replaced at registration of the 5th year.  The player book must be signed by the official.  The coach or manager must complete the 1st available registration page as follows:  CLUB NAME:  OMSC; CLUB # 0421; TEAM NAME:  Storm (year); Age Div: U(age); LEAGUE: SWRSL L(level)  and on the last line the position (See Official Book Sample below).   Player books can take up to 10 days to be processed by SWRSA.  When the book has been processed by SWRSA the coach and manager will be notified to make arrangements to pick up the book with a current OSA roster.

Instructions for Completing player books under U13/ registration paperwork - Picture in book must be passport size – 1 ¾ x 1 ½ and must be in full colour on photographic paper - Replacement pictures must done as follows:  MINI/YOUTH – pictures must be replaced every 3 years – this means that the picture is good for 2 years and must be replaced at registration of the 3rd year.  The player book must be signed by the player.  The registration papers must be completed by the parent and either sent to the office with the player book or prior to the player book being sent to SWRSA.  The coach or manager must complete the 1st available registration page as follows:  CLUB NAME:  OMSC; CLUB # 0421; TEAM NAME:  leave blank; Age Div: U(age); LEAGUE: SWRSL L(level) (example below).   Player books can take up to 10 days to be processed by SWRSA.  Player books must be processed before a player can play any games or exhibitions.  When the book has been processed by SWRSA the coach and manager will be notified to make arrangements to pick up the book with a current OSA roster.

Instructions for Completing player books for call up player from House League under U13 - Registration papers are required, and the player must be registered with the house league.  Player book must be submitted as follows:  Replacement pictures must be done as follows:  MINI/YOUTH – pictures must be replaced every 3 years – this means that the picture is good for 2 years and must be replaced at registration of the 3rd year.  The player book must be signed by the player.  The coach or manager must complete the 1st available registration page as follows:  CLUB NAME:  OMSC; CLUB # 0421; TEAM NAME:  (leave blank for administrator to complete); Age Div: U(age); LEAGUE: House League (See Call Up Player Book Sample below).  Player books can take up to 10 days to be processed by SWRSA.   Player books must be processed before a player can play any games or exhibitions.   Player books can take up to 10 days to be processed by SWRSA.  When the book has been returned by SWRSA the coach and manager will be notified to make arrangements to pick up the book

Instructions for Temporary Eligibility Permit (TEP) – This form cannot be used for a player under 13.  This is a form to allow a player who has never registered with any club in the current season and has a player book, one 2 league games or 1 exhibition game or 1 tournament within a fifteen day period.  Grassroots players cannot play up unless Approval to Play Up has been granted prior to the Permit request.  No player is allowed more than two TRP’s with two different clubs in any one season.  Each TRP must be with two different clubs.  The Trial Permit should be completed and submitted to the club along with the player book for processing by SWRSA.  When the permit has been processed by SWRSA the coach and the manager will be notified to make arrangements to pick up the book and the approved permit.  These applications take 3 business days to be processed by SWRSA.  The responsibility for these costs will be determined individually by the Director of Travel Teams and the President.

Instructions for Temporary Registration Permit (TRP) – This form cannot be used for a player under 13.  This is a form to allow a player registered with another club to play for 1 league game or 1 Tournament per application with a max of 3 applications per player assuming both club constitutions allow this.  Grassroots players cannot play up unless Approval to Play Up has been granted prior to the Permit request.  The club will cover a maximum 5 applications per season/team.    The TRP should be completed by the team who has the player registered with them, and submitted with the player book to their office for processing with their association.  When completed the TRP form and the player book should be given to the borrowing coach, who will need to get it processed with their association by their office.  The TRP will need to be attached to the game sheet(s).  These applications take 3 business days to be processed by SWRSA.

Instructions for Guest Players – Only to be used for players registered with the same club at the same level of registration.  The player will be entitled to play an unlimited number of games at no charge as a guest on a team but they must be playing up and are limited by rules of the event.  No permit is required and they are marked on the games sheet as a guest.

Instructions for Players leaving team to h/l – A player who leaves of their own volition will not be entitled to a refund, but will be moved upon written request by the parent to an available spot on a house league team and will not be allowed to play in the Competitive Travel Team program for the duration of the season.  The notification from the parent will initiate the removal of the player from the OSA roster.  The player book should be returned to the parent or office.

Instructions for Players leaving team – The player who leaves of their own volition will not be entitled to a refund after April 1st.  The player will also not be allowed to register with another team with or without the deregistration form.  Nor be allowed to play in the Competitive Travel Team program for the duration of the season. The Coach or Manager should have the parent and player complete the Player Detail portion of the de-registration form (see below) so that the player can be removed from the roster.  The de-registration form should be sent into the office with the player book for processing.  If the parent does not complete the de-registration form then the office should be notified that the player is leaving the team and the player book returned to the office for storage.  The player will then be removed from the teams OSA roster.  The de-registration process can take up to 10 days to be processed by SWRSA.
